Call Meeting to Order

Vice Chairman Jennifer Young called the meeting to order at 7:10 p.m.

 

Members Present

John Flynn, Bryan Sykora, Jennifer Young, Jean Midthun, Lucy Hicks, John Dupont, Charty Oliver, Hans Larson, Council Liaison John Wheaton,

 

Members Absent

Administrator Dana Young, Woody Woodburn

 

June 1, 2005 Minutes

The Committee approved the June 1, 2005 minutes on a motion by Hans Larson, seconded by John Flynn.  Motion declared carried.

 

Deephaven Days

The majority of the meeting today centered around the quickly approaching Deephaven Day celebration on Aug.13. Discussion began with establishing some type of preliminary total budget. Identified expenses would include Food, Balls (kickball, basketball, volleyball and soccer), Band, Port-a Potties, Life guards, T-Shirts for volunteers and racers, refreshments for racers, prizes. It was decided the budget would be targeted at $3,000.

 

The next part of the discussion was receiving reports for the two main committees, The Race Committee, (Lucy, Charty, Woody, Darel Gustafson) and the Food and Fun Folks Committee (Jennifer, John F., Bryan and Woody).

 

Food and Fun Folks Committee

Music has been taken care of by John. He will try to negotiate down the $400 fee. Need to contact Cottagewood Store to borrow their grills. Games to be conducted are Horseshoe, Kickball, Volleyball and Soccer.

 

Race Committee

Lucy presented complete package with race route, volunteer, police and public safety needs. They expect about 50 participants.  Biggest concern was need for volunteers. Charty and Jean will get volunteers.

 

Jon Wheaton suggested a mailer be sent to all residents two week prior to the event. Maybe a tri-fold thing. There was also discussion about stuffing the paper boxes in our respective neighborhoods. Also discussed the need for PR Committee. We reviewed the article in the Lakeshore Weekly and wondered how that got there. Lucy will look into so that if Darel inserted it we don’t duplicate efforts in the future. It was also suggested that we get info on the city web site. We also decided to look into putting signs up at key places in the city. Specifically, at the Deephaven City signs on Vine Hill and Minnetonka Blvd. Also wanted to put posters and flyers at General Store.

 

There was discussion about sponsorship but it was decided that because this is the first year, we hold off on contacting local businesses and merchants until a track record is in place. SO year one is really a learning year for us. However, Lucy volunteered to provide 50 Carnavale T-shirts for the volunteers. So in essence, we do have a corporate sponsor. She will also look into having TEAM DEEPHAVEN silk screened on the back. John F. provided her with a silk screener contact.

 

With the short time line to this event it was decide that we all meet next Tuesday, July 12 at the Cottagewood store at 7 a.m. to update current responsibilities status. The individual assignments include:

           

John F. – Sign and resolve the music

Woody?? – Check into availability of General Store Grills

Lucy – Look into Silk Screening

Jean & Charty – round up volunteers from Garden Club, Historical Society and 7:30 Club

Hans – Research Ribbons and medals for race

Bryan – Develop flyer/Stuffer

Lucy – Review PR with Darel

Paddle Court Update

Hans reported in from his City Council Meeting and the Paddle Court update was the biggest topic. The biggest issues appears to be parking and resident vs. non-resident as well as offering a parking spot for trailers. Hans suggested that the Park Committee needs to make specific recommendation and presentation to Council in future. It was decided to table and review again at September meeting.

 

 

Tennis Court Maintenance Schedule

Tabled until Dana returns.

 

Other

John W. alerted everyone to grant program for Tennis courts that is being funded by USTA. He has forwarded info to Dana.

 

Lucy concerned about boats coming into docks at swim areas, specifically at Robinsons Beach. The lifeguard should not allow this. She also expressed the need for clean up of area seaweed. John also mentioned that there is also a loose ladder at Linwood on the new docks.

Motion to adjourn by Hans Larson, seconded by John Flynn.  Motion declared carried.  The meeting adjourned at 9:00 PM.  The next regularly scheduled meeting of the Park Committee will be held on Wednesday, August 3, 2005.
